Every guest's details get typed in twice.

The guest's details go into the PMS when the booking is made and are then typed in again, in full, for the guest registration the law requires. Same person, same screen and the same misspelt surnames both times.

What I come across

Three things in a chain, and only one of them is cheap.

You start with the registration, which is the clean one, and finish with the booking engine, which is the one that moves real money.

The guest registration

It is a legal requirement and it is the same data that is already in the PMS. Nobody needs convincing that it hurts: someone does it every day who would rather be doing something else. The data already exists, so it only has to be taken from one place to the other.

The owner statement

Every month each owner's statement is put together by hand, one by one, cross-checking bookings, cleaning, incidents and commissions. It is the job that gets left for the weekend and the one that causes the most arguments when an odd number comes out.

The commission that leaves the island

Almost everything comes in through the booking portals and the commission leaves the island. Your own booking engine with real prices and availability doesn't replace the portals, but it changes the mix. It is the expensive project of the three and the one that pays back most.

Removing the second one is one of the quickest things I do.

The data is entered once, in the PMS, and the registration comes from there. What is left is checking it, which is not the same as typing it.

Why software from elsewhere won't solve this.

The guest registration is a Spanish requirement, and the mix of programs used here is what it is: a PMS, a channel manager, WhatsApp and a spreadsheet. There is no module that joins them out of the box, and whoever sells you one out of the box hasn't seen your PMS.

I'm in Santa Cruz. In high season, when something stops, that matters more than it seems when you sign.

Under the hood, this is systems integration so the PMS and the registration share the data, and process automation for each month's owner statements.

When I'll tell you no.

  • If you handle fewer than twenty check-ins a month. The saving doesn't pay for the project and I'll tell you so on the first call.
  • If the PMS has no way of getting the data out, neither through an API nor an export. Then the project gets more expensive and often isn't worth it.
  • If the real problem is that nobody decides who deals with incidents. Software doesn't fix that.
